General Responsibilities:
As a member of the corporate finance team, and under the direction of the Controller, the Accounting Assistant is responsible for preparing weekly, bi- weekly, monthly, and quarterly inter-company billings. The Accounting Assistant prepares and maintains other financial records, especially those related to cash, payroll billings, accounts receivable, accounts payable, treasury and corporate credit cards.

Specific Responsibilities:
Manage accounts receivable aging balances; communicate overdue balances with Controller and follow up with customers as needed.

Complete weekly, monthly, and quarterly inter-company billings between property and management company.

Process invoices for prompt payment; process all vendor payments to avoid late fees and to take advantage of any payment incentives; assign correct GL coding to all invoices to conform with corporate budget.

Prepare monthly work papers and associated journal entries for review by Controller.

Monitor PMI company credit card purchases for proper use and receipts.

Manage online rent payments by maintaining data integrity and posting payments to resident accounts

Perform treasury functions related to monthly bank account reconciliations; property wire and account transfers, posting of daily property sweep activity and as needed check depositing

Post monthly interest earned on resident security deposit ledgers based on state regulations

Review and import monthly resident utility reimbursements.

Required to cross-train with both Accounts Receivable Specialist and Accounts Payable Assistant to be positioned to perform those functions as needed.

Respond to financial questions and requests from other members of the Finance & Accounting department.

Perform various ad-hoc analyses and other management reporting, as requested.

Special projects, administrative task or assignments instructed by supervisor.

Job Requirements

Qualifications:
1. Candidates will possess an Assistant’s Degree in Accounting and 1-2 years’ experience or a Bachelor’s Degree in Accounting, or an equivalent combination of education and experience.

2. The ideal candidate should possess a track record of success and performance, a demonstrated ability to grasp knowledge in areas where the person lacks experience, and high performance expectations of self and others.

3. Experience in the use of business computer systems and software such as Microsoft Office suite; experience with on-line database systems such as BostonPost Property Manager desirable. Advanced Excel skills desirable.

4. Financial experience in housing or property management.
