Accounting Assistant

Position Summary: Maintains and coordinates systems related to receipt of The Night Ministry’s (TNM) revenues


General Purpose:
Oversees the collection of grants, the preparation of vouchers for government contracts and the allocation of grant revenues to proper accounts.


Role Qualifications:

  • Must implement procedures for the preparation, submission and collection of government grants in a timely manner.
  • Must develop and maintain allocation schedules for all program grants and assist the Development Department in preparing budget proposals and reports for funding agencies and organizations.


Position’s Responsibilities:

  • Prepare monthly vouchers for City, State and Federal contracts, book government revenues and receivables along with journal entries for expenses pertaining to various government grants.
  • Prepare budgets and income and expenditure reports for (potential) funders as needed by the Development Department and maintain the spreadsheet for allocation of grant for the organization’s department budgets.

  • Post daily cash receipt journals as per the daily gift reports from the Development Department. To make entries for receipt of cash from the government receivables and to make sure that government receivables do not stay outstanding for too long.
  • Prepare budgets for city, state and federal grants and revise them as and when needed.
  • Re-submit vouchers for reimbursement when portions of the vouchers submitted earlier have been deleted by the City.
  • Work closely with the Government Relations Coordinator for submission of various budgets in a timely manner
  • Work closely with members of the Development Department.
  • Undertake special projects as assigned by the Director of Finance.
  • Be prepared to learn and act as a backup resource for payroll and accounts payable.
  • Be ready to take on additional responsibilities
  • Other duties as assigned by the Director of Finance.

Essentials skills and experience:

  • Preferably Bachelor’s degree in accounting, finance or business, with two to four years experience of working with government grants in a similar position
  • Strong attention to detail including excellent filing skills
  • Strong Microsoft Excel skills required
  • Familiarity with Microsoft Dynamics Great Plains preferred
  • Strong communication skills, seeks opportunities to communicate openly and effectively within the Finance Department.
  • Demonstrative ability to organize and manage multiple priorities
