Accounting and General Office Administrator

Position Overview: Establish and maintain policies and procedures for the administration and reporting of all accounting and general office management activities. This can be a part time employee or contractor position for up to 32 hours per week.

Essential Duties and Responsibilities :

  • Responsible for all aspects of Accounts Payable and Accounts Receivable including but not limited to Grant Management and client invoicing in accordance with contracted projects.
  • Tracks income and expenses by project and assists Project Managers in reviewing project related P&L. Prepares invoices at appropriate milestones on each project.
  • Establishes reliable time and billing records and systems and procedures, and the reporting of appropriate information to members of the Management Team.
  • Maintains banking relationships with various banks used by the company.
  • Responsible for salary administration, all employee benefit plans, and managing client/vendor relationships as related to such.
  • Responsible for timely, accurate and confidential administration and oversight of payroll function for the company.
  • Prepares reports to support external finance and administration staff to comply with all company financial and tax reporting obligations.
  • Responsible for administration of corporate liability insurance, Workman’s Compensation insurance as well as compliance with leasing obligations.
  • Manages the ordering, receiving and payment of general office and kitchen supplies.
  • Documents working practices and guidelines associated with essential duties and responsibilities as may be required from time to time.

Position Qualifications : Must have strong PC skills, including experience with various accounting software packages, plus strong Excel and MS Word experience. Working knowledge of QuickBooks Accounting software is required. All Accounting Department personnel must have strong integrity and professional ethics, and the ability to maintain confidentiality of company financial condition to both employees and persons outside of the company. The Accounting Department is a service center for all operating areas of the company. As such, the Accounting Administrator must have a strong commitment to customer service to individuals within the company and to vendors and suppliers outside of the company.
