Accountant and Business Assistant

Job Summary:

To perform duties involving payables, billing, deposits, reconciliations and other duties needed to assist the Chief Finance Officer. To perform necessary bookkeeping functions and procedures in accordance with accepted accounting standards and principles. To enter and track donations, create receipts and update system and work in collaboration with the Development Department.

MAJOR RESPONSIBILITIES :

Administrative:

  • Managing fee-based billing process – data entry, payments, parent correspondence and collections and provide leadership in direction and future strategies
  • Perform monthly reconciliations of the Club bank accounts when it doesn’t conflict with the Club’s checks and balances
  • Manage and organize the Boys & Girls Club credit card process, reconciliation and entry.
  • Manage CCA tracking and state billing, working with families and reporting.
  • Post daily deposits in accounting software and take trips to bank to deposit.
  • Entering employee information upon hire – pictures, state records, updated internal documents.
  • Record all donations in donor software and produce receipt letter and manage the reports and system of the donor system for the Club.
  • Manage pledge process, tracking and collections of pledges.
  • Special Event (including Willie Mac) financial assistance, tracking and guidance for future budgeting, planning and results.
  • Enter and print Accounts Payable invoices, provide, status on any pre-paid bills, mail checks and file supporting documentation.
  • Perform necessary bookkeeping functions and procedures.
  • Assist in updating, upgrading and reporting out of the donor management system, member tracking systems, billing software and Quickbooks.
  • Assist in the payroll process, procedures and communication
  • Enter and track donations, send out receipts and print necessary reports as advised by supervisor.
  • Daily support for the membership tracking system in all Units. Upgrading, converting, saving and printing out necessary program tracking reports and support to all Units in Membership Tracking.
  • Office supplies ordered and upkeep at all Units, making recommendations on opportunities for cost savings
  • Technology upkeep, ordering and management at all Units.
  • Equipment log management, tracking and upkeep and follow up and communication with the teams where needed
  • Assisting in grant management, tracking and reporting both external and internal for the team.
  • Assists with year-end audit data collection
  • Assist in the preparation of the BGCA Annual Report

SKILLS/KNOWLEDGE REQUIRED:

  • Two years experience preferred.
  • Experience in bookkeeping and payroll management.
  • Positive attitude, pro-active approach and the ability to multi-task.

Job Type: Full-time

Salary: $38,000.00 /year
