Direct Reporting Line: Deputy Principal Job Purpose:
The Academic Operations Officer, is the custodian of all Student Contracts and responsible for any issues related to Billing and Financial Credits. Responsible for ensuring that, all files all are complete and organised using a proper filing and archiving system. Key Performance Area:

1. Student Registration & Admissions

Planning and oversight of the Registration Process;

Ensure that contracts are complete and correct and all relevant sections signed;

Resolve all registration queries for fulltime and part time students

Billing of all students including part time

Create and maintain all student files (including part time)

Ensure all relevant supporting documents are in the files

Ensure all documents are uploaded on SAM

Maintain and control a proper filing/archiving system

Capture and register students on SAM

Responsible to ensure compliancy with the relevant IIE Policies iro admission criteria

Adheres to (IIE) Policies and Processes

Manages international student applications from application to registration, e.g. study permits and South African Qualifications Authority (SAQA) certificates.

Processing all documentation, calculations on accounts and fee adjustments;

2.Module Student Registration

Responsible for up-to-date, accurate maintenance and capturing of student data on SAM in respect of registration details

Processing all change of details and change of subject/modules forms and associated confirmation letters;

3. Assessment Process

Verifying the correctness of received assessment timetables

Allocation of venues for written formative and summative assessments

Checking and safe keeping of printed assessments

Ensuring that Invigilators are trained and allocated to assessment venues

Keeping assessment Log Sheets up to date and ensuring that lecturers return marked scripts and completed Mark Sheets

Verifying that Mark Sheets correspond with marks on assessment books

Managing the process for capturing and verification of marks

Managing the moderation process after final exams

Education:
Advanced Certificate / Diploma / Occupational Certificate Level 6 (NQF Level 6) in Secretarial / Administration

Deadline Driven

Work Experience:
3 – 5 Years Administration experience within a Tertiary or Educational Institution

1 Year First level management experience
