Talent Acquisition Assistant

The Talent and Workforce Development Division is hiring a Talent Acquisition Assistant to join the Talent Acquisition Unit. We have aggressive hiring needs and goals over the next six years. This role offers the opportunity to be a part of a major effort to impact staffing for the next wave of employees at the Utility. You will be aligned with a recruiter and work in tandem with hiring managers and candidates to help successfully fill vacancies. This position will report to the Talent Acquisition Manager.

Job Responsibilities:

The Talent Acquisition Assistant will provide professional and complex support services to the Talent Acquisition Unit primarily focusing on the areas of recruitment, hiring and selection, compensation/classification, and other special HR projects. You will support all aspects of the hiring process including:

  • Analyze candidate pools to identify top talent and determine which candidates will proceed in the hiring process
  • Work directly with candidates, hiring managers, and teams to schedule interviews
  • Assist specialists with skills testing as needed both in the office and in the field
  • Attend hiring planning meetings to discuss team’s needs
  • Escort candidates to interviews
  • Post jobs to external sites and partners and track posting expenses for proper processing
  • Represent the utility at recruiting fairs
  • Create materials for teams to use during the hiring process such as interview packets
  • Work with City Personnel on workforce programs such as temporary employment and internships
  • Process and coordinate pre-employment procedures such as background checks and pre-employment physicals
  • Review employment related documentation for accuracy and completeness
  • Enter data into employment tracking system
  • Maintain confidential files and databases
  • Research, gather and compile data for process improvement and create workflows
  • Research operational policies and procedures, past practices, and other documentation to respond to and resolve issues for employees, hiring managers, and legal representatives
  • Apply personnel rules and policies, union contract provisions, departmental procedures and directives to accurately implement requests
  • Provide back-up to other Talent Acquisition Assistant staff and the Human Resources Receptionist as needed
  • Assist Human Resources Talent Acquisition Unit on special projects.
  • Serve as part of the SCL New Employee Orientation team.
  • Track documents that come in and out of the Human Resources office.
  • Organize incoming documents in priority order;
  • Order office supplies as needed for the Human Resources team.
  • Prioritize your work to maximize efficiency.
  • Assist specialists with Hire Close out packets
Qualifications:

Experience: Two years of progressively responsible clerical work in a personnel office setting is required (or a combination of education and/or training and/or experience which provides an equivalent background required to perform the work of the class).

Certification/License: Driver’s License or equivalent mobility.

Desired Qualifications:

Education: Bachelor’s degree in Social Sciences, Human Resource Management, Business Administration or related field (or a combination of education and/or training and/or experience which provides an equivalent background required to perform the work of the class).

Experience: One year of responsible professional public personnel administration, human resources, or other related experience. Must have experience working with confidential information. Must be knowledgeable and experienced in Microsoft Office Suite including Word and Excel and Human Resources database programs (e.g. HRIS) or comparable database systems.
