Program Manager – Kent

The Grants and Contract Manager manages and implements all administrative operating functions of supporting grants and contracts in the CE department, this includes 15-20 Job Skills Grants, eight Small Business Grants and several cash contracts. The position is responsible for budget monitoring, program logistics and instructor services support. The position interfaces directly with company owners, HR managers and payroll staff. The position also serves as primary contact for Small Business Center supporting Business Advisors. This position reports to the Director of Contracts and Continuing Education.

Position Responsibilities:

Manage Operation Functions and training schedule for all JSP grants :

  • Interpret, implement and manage grants and contracts policies and procedures
  • Prepare and generate reports and communications
  • Responsible for all contract training logistics and instructor support
  • Oversee client registration system for contract training
  • Manage and generate reports from the contract training data base system
  • Manage grants and contracts budget request process; prepares budget reports
  • Review all client management systems, policies and procedures and recommends changes and modifications
  • Prepare bi-monthly instructor payroll meeting established college deadlines
  • Order all materials and books for contract and open-enrollment courses
  • Assist in the development of new grants, programs, initiatives and activities within department
  • Participate in department personnel decisions

Small Business Center Support

  • Manage Small Business grant deliverables from state, city and port grants
  • Review grant deliverables monthly with Business Advisors
  • Manage intake process for new clients, make client appointments
  • Compile information into comprehensive reports
  • Meet with grant funders about reporting requirements and audit procedures
  • Follow up with clients on reporting requirements as needed

Qualifications:

Minimum Qualifications

  • Bachelor’s degree in a related field or program AND one year of professional experience OR four years of responsible supervisory and/or administrative experience
  • Demonstrated attention to detail
  • Excellent Customer service skills
  • Proficiency in Microsoft Office Suite
  • Demonstrated ability to serve the needs of students, staff and the public that represent a broad spectrum of ages, abilities, ethnicity, education, and cultural backgrounds
  • Professional work ethic with an ability to maintain strict confidentiality
  • Proficiency in using student management and registration systems

Preferred Qualifications

  • Experience working in a Higher Education environment
  • Database management

Successful Candidate will be able to successfully

  • Demonstrate competence to prioritize projects and be self-directed
  • Maintain records of multiple tasks and report to Director on progress as assigned
  • Complete tasks individually and as part of a team
  • Receive direction and instruction from supervisor and ask clarifying questions for understanding
  • Use critical thinking skills to solve complex problems
