Marketing Events Coordinator

The Marketing Events Coordinator – Gift & Home is responsible for the implementation of AmericasMart’s special events, educational programs and market services (as designated) pertaining to the company’s gift and home Markets (6x annually) and year-round interior designer-focused programs (approximately 12x annually).

The Marketing Events Coordinator – Gift & Home will report to the Marketing Events Manager, Gift & Home. The Marketing Events Coordinator will be a member of the Gift & Home strategy team and will work with other key marketing team members as needed.

QUALIFICATIONS REQUIRED:

  • Undergraduate degree from four-year College or University required, preferred major in Communications, Marketing or related field.
  • The ability to organize and prioritize multiple tasks in a fast-paced work environment to meet tight deadlines;
  • Excellent proofreading skills, accuracy and attention to detail;
  • Strong interpersonal skills is mandatory. Software knowledge and experience should include; Excel, Microsoft Word and Outlook
  • One to three years of direct events experience
  • Must have experience running many major and minor events going on simultaneously.
  • Expertise in Microsoft and project management program(s)

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES: include the following. Other duties may be assigned.

  • At the direction of the Marketing Events Manager, overall execution of special events, educational programs and market services
  • Manage the travel and logistics required for talent and vendors including travel, hotel accommodations, per diems, transportation and more
  • Attends all events, representing Market team and liaising with vendors, operations department and other key stakeholders
  • Create and update all speaker contracts
  • Provide direction and oversight to AmericasMart Events Team and catering departments on environment, menu and overall execution
  • Procurement and oversight of experiential and atmospheric environments including: florals, décor, food & beverage, AV, seating, housekeeping, etc.
  • Active execution of any run of show – working with the Marketing Events Manager to ensure all team members are executing their portion of any event
  • Liaise with third party vendors, speakers and sponsors regarding logistics of the event – parking, set up, atmosphere, room layouts, audio and other
  • Maintain master event calendar for planning purposes and publishing online
  • Facilitate speaker gifts
  • Facilitate badging for speakers
  • Facilitate gift bags and essentials for seminars and events
  • Support in the overall marketing of any event including quality checking of signage, messaging, seminar descriptions, headshots and other
  • Actively tracks planning across budget, updating accruals regularly
  • Ensure that sponsorships of events and seminars are executed across all marketing communications channels
  • Special projects as required

SKILLS AND EXPERIENCE REQUIRED

  • 1-3 years of direct events experience
  • Expertise and deep passion for the relevant industries is required (Primarily: Apparel- Secondly: Home, Gift or Rug).
  • Must have experience running many major and minor events going on simultaneously.
  • Direct Tradeshow Marketing experience is a plus.
  • Previous AmericasMart experience hugely beneficial.
  • Expertise in Word, Excel and Powerpoint
  • Regular hours are 8:30-5:30 -except during and extended hours and weekends as directed during markets. Overtime Hours: on weekends as needed during markets
  • Detail-oriented and extremely organized and ability to multi task while planning multiple markets at the same time.
  • Able to communicate effectively, keep the Events team properly updated on status and results, and build professional relationships with fellow employees.
  • BA/BS in Marketing or Events related field.
