Customer Service Administrator

Graphic Image/GiGi New York is a prestigious high end leather accessories and handbag manufacturer. We develop our own and custom products for luxury specialty department stores including Neiman Marcus and Bergdorf Goodman. We are actively seeking a dynamic customer service professional to join our team.

The Customer Service Administrator is responsible for processing orders from our websites, answering customer inquiries (product orders, promotions, exchanges, handling issues, etc.), following up with shipping on status and summarizing department sales. This position is responsible for curating the customers experience with our brands and oversees one direct report. Must be brand-savvy and someone that is as comfortable on the computer as you are holding an engaging conversation on the phone. This position requires a commitment to quality and accuracy. This successful candidate must consistently demonstrate a sense of ownership, professionalism, and follow through both internally with team members and externally with our customers.

Customer Service Administrator– Purpose

  • Process Web orders and invoices for Graphic Image and GIGI New York.
  • Cross-sell additional products
  • Follow up to make sure all orders ship in a timely manner and follow-up on any out of stock issues.
  • Manage customer returns, repairs, exchanges, and refunds.
  • Notify inventory control and customers of stockouts and backorders.
  • Respond to inquiries about product, order issues, or warranties via email and the telephone.
  • Demonstrate a sense of urgency with regard to maintaining outstanding customer satisfaction.
  • Report web sales daily to accounting.
  • Manage staff of one team member.

Required Competencies:

  • Computer literate including experience using web based service and/or eCommerce tools (i.e. ERP program for order processing, Microsoft Word and Excel) Volusion and Sage (Mas) knowledge a plus but not required.
  • Strong customer service skills
  • Professional attitude in following protocol and guidelines of the company
  • Excellent product knowledge with abilities to resolve issues
  • Ability to speak clearly and articulately over the telephone
  • Adept in communicating grammatically via emails
  • Experience in moderate to high pressured environments
  • Exceptional attention to detail
  • Demonstrated follow through

Required Education and Experience:

  • 3+ years retail, handling web orders and/or eCommerce customer service experience
  • 1 year experience managing staff
  • Two-year college degree in a related field desired
