TRAVEL OFFICER, FINANCE DIVISION (GRADE 8)

The Role

The Travel Officer is responsible for providing a full range of management, travel and administrative services required to support employees. The incumbent provides concrete and concise policy and technical guidance in the area of Travel processes and regulations as it pertains to domestic and international travel for Commission staff

(A starting annual total cost to company package of R 589 490.57 negotiable commensurate with experience).

Please note that one position is available on a five (5) years fixed term contract, renewable.

Skills & Experience

Requirements:

  • National Diploma (NQF Level 6) in Travel/Tourism/Business Management/relevant field. A degree would be an added advantage
  • 3-5 years’ experience in a similar (travel and tourism/hospitality) role in a public environment

Key Accountabilities

Responsibilities:

  • Management and Coordination of Travel Requirements
  • Research and book travel (accommodation, per diem, transport etc) arrangements including last-minute or large- scale requests.
  • Responsible for ensuring that travel Authorizations are prepared in a thorough and timely manner in accordance with travel regulations and approved internal procedures
  • Processes payments using the assigned Travel credit card.
  • Maintain chronological files of all travel and all employee travel files that are inclusive of all relevant documents that may be required for audit purposes
  • Advise employees on travel policies, visa requirements, authorized travel routes and entitlements in a wide range of travel situations
  • Ensure that all travellers have the appropriate documents when traveling.
  • Develop and maintain a good relationship with employees, customers and venues.
  • Keep up to date with developments in the travel industry. Review and remain current on all national and international travel regulations.
  • Liaise with CFO on all matters regarding the Travel Agency contract, including review and clearance of ticket invoices.
  • Address any needs an employee or client may have in transit beyond normal business hours.
  • Examines, evaluates and recommends alternative means of meeting travel requirements for unusual situations, i.e., interrupted travel due to illness or family emergencies, unplanned foreign travel with short time frames, and rerouting travellers due to emergency needs.

Personality and Attributes

  • Ensure that any required visas have been obtained prior to departure. If difficulties arise in obtaining an entry visa an alternative destination within the region should be considered.
  • Provide training to employees, travellers, and supervisors on how to initiate the travel process and informing them of their role and responsibilities. When required, or upon request, the incumbent will assist staff who are experiencing difficulties with initiating the process
  • Take the lead in resolving issues locally or internationally.
  • Directly responsible for the coordination and liaison with local Travel Agent for travel reservations and issuance of travel tickets. He/she will ensure that the Commission’s travel needs are satisfied by establishing a positive interactive working relationship with the Travel Agency
  • He/she will also ensure that reservations and fare quotations reflect the best routing and costs for the Commission and that alternative routings are being explored, as appropriate.
