Student Support Specialist

  • Serves as front-line support for CHS Student Services which includes advising, student engagement, student retention, and recruitment.
  • Coordinates phone and office scheduling for advisement office, including answering phone line and assisting both prospective and current undergraduate and graduate students.
  • Assists with student staff selection process including hiring and training; ensures front desk student staff delivers excellent service.
  • Serves as back up to supervisor for student worker time and attendance support approval.
  • Counsels and confers with students providing program procedures, policies, goals and objectives, technical guidance and problem resolution. Directs students to appropriate program advisor for further program guidance.
  • Serves as liaison to faculty, staff, students, alumni and the general public in facilitating college and university initiatives, requests for information, or concerns.
  • Coordinates detailed-oriented events including meetings, conferences, workshops, student engagement events, and/or special events; details include communication, room reservations, logistics, food, etc.
  • Develops a college and campus network to assist the unit with operating more efficiently and supporting the goals and objectives of the unit’s strategic plan.
  • Executes and coordinates office operations such as office moves; coordinates building and equipment maintenance requests; maintains keys and key log for department.
  • Provides administrative support such as maintaining office calendars, maintaining record-keeping systems; develops and maintains databases and/or spreadsheets; prepares special and recurring reports containing specialized or sensitive information.
  • Provides office operations support such as preparing and composing correspondence on own initiative, receiving and screening telephone calls and visitors, and prioritizing mail.
  • Responds to inquiries providing information requiring comprehensive knowledge of university policies and procedures; interprets administrative decisions and policies to other staff.
  • Recommends departmental policy development and revision to supervisor; updates related departmental manuals.
  • Recommends organizational adjustments to efficiently and effectively accomplish assigned objectives.
  • Initiates or coordinates the preparation of reports and maintenance of records pertaining to the operation of the work unit.

Minimum Qualifications

Bachelor’s degree in field appropriate to area of assignment AND one year of administrative and appropriate program experience; OR, Five years of progressively responsible administrative and appropriate program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Evidence of a Bachelor’s degree
  • Experience handling a high call, multiple phone line office
  • Experience streamlining processes and procedures and implementing best practices
  • Experience in providing customer service to current and prospective students (2 years)
  • Demonstrated knowledge of event planning details and logistics
  • Demonstrated knowledge of office and administrative practices and principles
  • Evidence of effective verbal and written communication skills
  • Experience in problem solving and decision-making
  • Demonstrated knowledge of Microsoft Office suite, PeopleSoft, Degree Audit Software, and Salesforce

Working Environment

  • Ability to clearly communicate verbally, read, write, see and hear to perform essential functions
  • Activities are performed in an environmentally controlled office setting
  • Use of software and computer equipment (monitor, keyboard, mouse) for extended periods of time
  • Use office equipment, i.e. printers, copiers, fax machines, telephones, calculator
  • Ability to lift and transport (25) pounds
  • Required to stand for varying lengths of time and walk moderate distances to perform work
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts
  • Use basic math
