Sr. Human Resources Assistant

Job Overview: The Human Resource Assistant is the point of contact for day-to-day functions of payroll and employee life cycle activities to include pre-hire and on-boarding. Provides support to the HR and management team in a variety of administrative tasks such as those listed below (this list is not intended to be all-inclusive or exhaustive).

Payroll/Timekeeping:

  • Process biweekly payroll utilizing multiple software systems
  • Ensure proper processing of approved time off for all FC associates
  • Identify, track and reconcile missing time clock punches
  • Identify Unpaid Time Off trends for FC employees and provide reports to management
  • Generate various time management reports including but not limited to attendance, on premises and overtime.
  • Monitor the Attendance Line, update Tracker and provide report to Area Managers

Pre-Hire & Onboarding:

  • Conducts new hire orientation
  • Ensure I-9 verifications are completed within required deadline
  • Maintains reporting for the Employee Referral program
  • Educate new hires on use of timekeeping and self-service tools (Corporate Intranet & Wiki as additional sources of information)
  • Provide overview of benefits and payroll to new hires
  • Coordinate badge photos for new hires as well as replacement badges
  • Instruct new hires in Operations on the use of the ERC room

Employee Life Cycle and HRIS:

  • Upload personnel documentation into OnBase
  • Submit voluntary and involuntary terminations via the Terminations tool and internal system processing

Administrative:

  • Ensure follow up for HR related escalations
  • Assist associates with password resets and ERC trouble ticketing
  • Documents processes, creates trouble ticket quick links & dashboards for HR team
  • OnBase Management: maintain personnel records by uploading documentation (shift transfers, accommodations, Dr. notes, etc.)
  • As necessary – help managers run/track production reports, work on projects for creating reports, etc.
  • Trains and provides information to non-exempt employees on the Career Choice benefit
  • Own Voice of the Associate (VOA) documentation management
  • Track Leave of Absence applications, approvals, and return to work status
  • Coordinates yearly flu shot clinic for all Fabric employees
  • Must adhere to confidentiality expectations
  • All other projects and responsibilities as assigned
  • Flexibility to work a variety of shifts and overtime, as needed, and in our busy peak season

Basic Qualifications

  • Bachelor’s degree or equivalent experience
  • General Human Resource or Payroll practices knowledge
  • Experience using Microsoft Office products including Excel and Outlook as well as other software

Preferred Qualifications

  • 2-3 years relevant experience
  • Strong working knowledge of Excel
  • Demonstrated ability to self-audit for very high level of accuracy
  • Excellent verbal, written, computer, data communication and presentation skills
  • Previous experience with local, state and federal employment regulations
  • Demonstrated ability to maintain strict confidential and privacy safeguards
  • Demonstrated ability to successfully prioritize and manage multiple projects and deadlines in a complex, high-paced environment
  • Previous experience working in a field or regional office of multi-site organization
  • Detail-oriented and excellent organizational skills
