Police Administration Coordinator

Supports and executes special projects and strategic initiatives requested by senior leadership. Provides high level administrative and clerical support for the Police Department. Tracks department initiatives, assignments, documents, and other administrative processes. Requires considerable initiative and independent judgment under general supervision.

ESSENTIAL FUNCTIONS:

Provides administrative support in special projects and department initiatives; assists with planning and coordination of full-cycle project management. Conducts research, compiles data and prepares special reports and other materials as directed. Contributes to the development, maintenance, and revision of the department work plan, activity scheduling, tracking assignments, reporting, and close out. Manages various tasks and processes simultaneously and with flexibility based on changing priorities. (40%)

Assists with data compilation and ad hoc reports. Serves as central information point within the department to promote and maintain effective communications. Oversees and monitors department service contracts including timelines, key content information, and contract terms in coordination with supervisor. Schedules meetings, reserves rooms, sends invitations on behalf of organizers, and distributes documents to participants. (30%)

Coordinates with Government Buildings staff for maintenance and repair of police facilities. Inventories, plans, and strategizes building improvement and safety measures for all BPD facilities. (30%)

REQUIREMENTS:

Required Knowledge, Experience, And Training
Requires education and/or experience to attain the following:

Associate’s Degree in business or public administration, criminal justice, or a related field, and one year of experience working in a public administration environment or a related field, or an equivalent combination of education and/or experience.

Functional knowledge of the principles of project management and organizational development; research techniques and report writing; office administration, management practices and procedures; principles and practices of business communication, spelling, grammar, and punctuation; computer systems used in general office applications and project planning and analysis.

Ability to use logical reasoning to effectively analyze and evaluate complex problems and issues to make sound recommendations; manage multiple requests/projects based upon the need for immediate action in a fast paced, changing environment; establish and adapt workload priorities based upon variable needs and changing priorities; work independently with minimal direct supervision; work effectively with frequent interruptions; accomplish tasks through exceptional organizational and prioritization skills with emphasis placed on detail and accuracy; communicate effectively in the English language at a level necessary for efficient job performance; develop and maintain effective working relationships with individuals at all levels of the organization; display an attitude of cooperation and work harmoniously with all levels of City employees, the general public and other organizations; complete assignments in a timely fashion; understand and comply with all rules, policies and regulations; maintain prompt and regular attendance; perform all essential and marginal functions as assigned by an authorized employee, supervisor and/or manager with or without a reasonable accommodation.

Preferred Knowledge, Experience, And Training
Bachelor’s Degree in Public Administration, Business, Criminal Justice, or related field, and three years of experience supporting operations and administration executives or senior management in a similar organization.

Special Requirements
All applicants must be able to successfully pass City of Boise background check processes which include reference checks and criminal history checks.
