Order Services Representative

What is Order Services exactly? Well, if you put the word “customer” in front of each word, it really tells the story. We are in need of a self-motivated team member with a strong desire to provide the highest level of customer service. Someone who puts themselves in the place of the customer and treats them how they would like to be treated. Someone who will respond to a customer in a timely manner either with the answer they need or a promise to quickly get the answer if they are unsure at the time – then go and get it. Someone who is not afraid to pick up the phone when the situation calls for the personal touch you simply cannot get through email. Or, maybe someone who is even able to take it a step further and establish a video communication because that is what the customer would prefer.

Basically, it is someone who truly recognizes the importance of the relationship between us and the customer and doesn’t just pay it lip service. However, customer satisfaction also comes in ways other than direct communication. The essence of your function is to drive customer orders from the time they are submitted through shipment to the customer. While data entry is definitely important, your value-add is ensuring accuracy of all aspects of the order and timeliness of fulfillment. As such, you play a major role in the revenue flow. The expectation is that you will learn about our products, services and processes while bringing a strong knowledge of and background in Microsoft Office applications. Mastery of Excel spreadsheets would put you ahead of the game.

Responsibilities:

  • Complete all orders in an accurate and timely manner based on information taken by phone, fax, or email
  • Effectively work and communicate with internal sales resources, manufacturer’s representatives and customers on Purchase Order discrepancies, questions, and/or concerns
  • Participate as needed in meetings and/or conference calls in order to find solutions for customer satisfaction opportunities
  • Code non-standard products using a Code Tree system
  • Courteously answer and transfer calls to the appropriate department
  • Order entry, order research and some clerical duties
  • Ensure customer follow-ups are closed out in a timely manner
  • Complete Commission Reports
  • Follow departmental and internal procedures to contribute to the success of the team
  • Identify and make recommendations on process efficiency and productivity in order to add value to the department
  • Build strong customer relations with target/assign accounts
  • Work well with others with an attitude of cooperation and achievement
  • While this description endeavors to cover the major and fundamental aspects of responsibilities for this position, it will be understood that at any given time, this position can be called upon to work in any capacity and in any area of the company that management feels this person is capable of handling due to need or emergency.

Qualifications:

  • College experience preferred, supplemented by hands-on or vocational training in a similar capacity
  • Customer-oriented with a proactive nature and a positive attitude
  • Excellent organizational and follow-through skills with a highly developed sense of urgency and prioritization ability
  • Detail-oriented with a strong analytical mindset
  • Excellent communication skills both written and verbal
  • Must be able to handle multiple tasks within deadline parameters
  • Capable of following written procedures and verbal instructions
  • Must have good phone skills and a clear phone voice
  • Possess a professional work attitude
  • Ability to work independently with minimal supervision as well as within a team
  • Be proficient in Microsoft Office applications and be able to learn the Welker ERP software

Salary:

  • Starting hourly wages range from $11-$17 per hour
  • Determined by potential, experience and education
