Data Entry Specialist

Position Description:
The Data Entry Specialist provides clerical and data entry services in support of our customer, the United States Attorney’s Office (USAO), Victim Witness Section, Southern District of Florida. The Data Entry Specialist utilizes the Victim Notification System (VNS) to input new information and to generate mail notification letters, paying special attention to recognizing missing information and providing the missing data as necessary. The individual in this position should have a working knowledge of data entry protocol to include operating a data entry device to input lists, records, or other data points into an electronic format.

Required Qualifications:

  • A High School diploma is required.
  • Ability to review/analyze data and information from multiple sources.
  • Possess a working knowledge of data entry and retrieval from databases and establishing case/project files.
  • Ability to manipulate, transfer, compute and print information.
  • Possess or be able to obtain/maintain a Department of Justice (DOJ) Security Clearance.
  • This position requires U.S. Citizenship.

Essential Functions:

  • Assist in providing support to crime victims and witnesses within the district.
  • Provide victims with notification of public court proceedings utilizing VNS.
  • Regularly input new information into VNS.
  • Recognize data elements that are missing and provide missing data as necessary.
  • Generate notification letters and mailings as necessary.
  • Provide technical research of the court’s electronic filing database, criminal case files, or other reference material as needed.
  • Use online database programs to perform searches that include current victim addresses.
  • Respond to victim inquiries regarding case related information and status as maintained in VNS via phone, email, letter and fax; and refer victim to appropriate USAO staff member as necessary.
  • Assist Victim-Witness staff in arranging travel and lodging.
  • Maintain witness files, complete and process travel vouchers and provide assistance in obtaining authorizations for unusual witness expenses, foreign witnesses, military, and federal government employee witnesses.
  • Assist in facilitating referrals to organizations for victims’ compensation, counseling, and shelter.

Work Conditions:

  • Work is primarily performed in an office environment.
